Part-time Virtual Assistant (UK time zone)
Join our team! As our part-time VA, you’ll be the friendly face behind the scenes, helping clients, managing tasks, and keeping things running smoothly. This is a remote role, permanent and you’ll be working UK hours: 9 AM to 1PM UK time, Monday to Friday – 20 hours a week.
Key Responsibilities:
- Customer Support:
- Respond promptly to client enquiries and requests via email (2-10 emails per day), telephone (0-3 calls per week), and chat (0-3 chats per week).
- Provide accurate and timely price quotations.
- Send invoices, receipts and certificates to clients, as needed
- Administrative Tasks:
- Update and maintain spreadsheets and databases to ensure data accuracy.
- Record manual orders and payments efficiently.
- Coordinate with proofreaders via Slack chat every day
- Check proofreader invoices every month
- General troubleshooting. Resolve technical difficulties with documents, spreadsheets, and communication platforms.
- Communicate with the business owner via Teams or WhatsApp, (video calls and chats) daily.
- Send daily email summary of tasks to the business owner
Other Tasks:
- Content Creation: Write blog posts to attract and inform our target audience.
- Social Media Management: Assist with basic social media activities like posting on Twitter and Facebook accounts.
- Document Formatting (commission paid): Format PhD thesis documents in Microsoft Word as needed (approx. 1 document per month)
- Internet research: Conduct online research to gather information on a specific topic or task.
- SEO email outreach: Send outreach emails to other websites (for guest posts, link insertion or resource pages). We have a template for this.
- Basic video editing
Qualifications:
- At least one year of experience as a General VA, Customer Support or Executive VA
- At least one year of experience working remotely
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and Google Workspace (Sheets, Docs, Drive, Gmail)
- Strong organisational and time management skills
- Blog writing and basic design skills
- Ability to learn quickly and adapt to change
- Strong work ethic and attention to detail
What you’ll need:
- A reliable laptop or computer
- A good headset with a QUIET work location (no background noise)
- A strong internet connection with a minimum speed of 25 Mbps (upload and download)
- Minimal to no power outages
