They are looking for an organized, proactive Executive Assistant to support business operations, streamline administration, and free up the director’s time to focus on sales, instructions, and negotiations.
Job Description
Our client is seeking a detail-oriented Executive Assistant to play a vital role in supporting day-to-day business operations. The role will be primarily administrative, with some light social media and marketing tasks to maintain visibility. This is an excellent opportunity for someone who has worked in property or real estate, enjoys multitasking, and thrives in a fast-paced environment.
Key Responsibilities
Administration & Operations
– Upload and manage property listings on relevant platforms.
– Prepare and process sales memos, invoices, and contracts.
– Handle data entry and maintain spreadsheets/systems.
– Manage AML compliance and board/letter preparation.
– Coordinate vendor communications and supplier quotes.
– Arrange branding materials, events, and ad hoc business tasks.
Finance Support
– Pay and chase invoices.
– Track payments and liaise with third-party companies.
Client & Team Support
– Answer calls and pitch to buyers when required.
– Liaise with the internal team to ensure smooth workflows.
– Send letters, follow-ups, and manage responses.
Light Marketing & Social Media
– Prepare basic marketing materials (e.g., Canva templates).
– Post new instructions, open days, and completed deals on company pages.
– Monitor and reply to simple enquiries (e.g., SpareRoom responses, social media messages).
– Maintain Google My Business updates and support light social posting.
– Ad hoc duties as required to support the director in driving business growth.
Requirements
– 2+ years’ experience as an Executive Assistant, Personal Assistant, or strong Admin role (property/real estate industry preferred). Strong organisational skills with high attention to detail.
– Confident, proactive, and able to manage multiple tasks.
– Experience with property platforms, CRM systems, or equivalent.
– Comfortable liaising with clients and handling calls professionally.
– Basic experience with Canva or similar tools (training can be provided).
– Tech-savvy and adaptable to new systems.
– Assertive, confident communicator with excellent written and verbal English.
Nice to have (not essential):
– Excel spreadsheet knowledge.
– Previous experience with marketing/social media support.
