We build sales systems and automations, manage tracking dashboards and marketing, and handle sales team management and infrastructure end-to-end. Powered by AI at every level. THE ROLE
Backend is the core of everything we do. Every client we serve depends on the automations, dashboards, CRMs, and data flows you’ll be building and maintaining. When these systems work, our clients scale. When they break, everything stops. That’s why we need someone who takes this seriously.
You’ll work directly alongside our COO, receiving in-depth task briefs via Loom recordings and written docs. You’ll be expected to execute independently — problem-solving on your own first, using AI tools like Claude and ChatGPT to figure things out, and asking smart questions when you genuinely need direction. You won’t be micromanaged, but you will be held to a high standard.
We’re looking for someone who is sharp, hungry, proactive, and genuinely willing to learn. Someone who takes initiative without being asked and communicates clearly and often. If you have knowledge of the coaching, agency, or info product space — that is a very big plus. You’ll understand the business logic behind what you’re building, not just the technical side.
AI is central to how we work. You’ll be using AI tools at every level of the role — from problem-solving and building automations to iterating on landing pages and streamlining processes. Your knowledge and comfort with AI is really important to us.

SUCCESS METRICS
– System reliability: All automations, dashboards, and integrations run error-free across client accounts
– Build quality: Every automation is clean and easy for the team to understand
– Speed: Tasks are completed efficiently without sacrificing quality
– Visibility: Every task is logged in Notion with a clear process and visibility on what you’ve done
– Initiative: You regularly suggest improvements and optimizations nobody asked for
– Communication: Daily updates via Slack, proactive flagging of issues, clear and responsive communication at all times
CORE RESPONSIBILITIES
Automation Building & Maintenance
Build and optimize automations in Make.com, Zapier, and/or n8n across multiple client accounts
Build and maintain GoHighLevel workflows, automations, and campaigns
Troubleshoot failed workflows and restore full functionality immediately
Connect data flows between Airtable, Google Sheets, Close CRM, ActiveCampaign, and Slack
Work with the team to build and integrate AI tools into automations to boost efficiency
Create, test, and deploy new systems that reduce manual workload
CRM & Data Infrastructure
Set up and maintain Close CRM pipelines, tags, and configurations
Set up and maintain ActiveCampaign email sequences with conditional logic
Build and manage Airtable bases, dashboards, scripts, and reporting systems
We pride ourselves on having very accurate and in-depth data — maintain data hygiene across all client dashboards, tracking sheets, and CRMs to the highest standard
Create reliable webhook systems for lead capture, payment tracking, and reporting
Ensure consistent, standardized data naming and tagging structures across accounts
Landing Pages & Client-Facing Assets
Build and iterate on landing pages and client-facing web pages — AI does a lot of the groundwork, and your job is to direct, refine, and quality-check the output
Perform quality control on funnels — test every step from opt-in to payment
Ensure new funnels and offers integrate smoothly with the CRM and automation stack
Process & Communication
Log every task in Notion with a clear process and visibility on what you’ve done
Record Loom videos for training and reference when building new systems
Communicate daily progress, blockers, and completed work via Slack
Flag issues proactively — don’t wait to be asked
TOOLS & TECH STACK

REQUIREMENTS
Excellent written and spoken English — non-negotiable
Strong technical and operational mindset — you connect both the build and the business logic behind it
Experience building real automations in at least 3 of the tools listed above
Skilled at troubleshooting — you can diagnose why something broke and fix it fast
Strong communicator — you’re clear, responsive, and proactive in how you share updates, ask questions, and flag issues
Familiar with webhooks, APIs, and data mapping between tools
Attention to detail — broken links, missed triggers, and sloppy data are unacceptable
Reliable computer with a fast, stable internet connection (must be working 95% of time)
Comfortable working autonomously from Loom briefs and written docs
Big plus:
Knowledge of the coaching, agency, or info product space
Landing page design and web page building
Familiarity with Claude Code or AI coding assistants
Strong AI proficiency across tools and workflows

WHAT EXCELLENCE LOOKS LIKE
Every automation runs silently. Issues are solved before anyone notices. You ship improvements without being asked. When you get a brief, you deliver what was asked and suggest what wasn’t.
ROLE STRUCTURE
Approximately 30 hours per week
15-20 hours/week ramp during the first 2-4 weeks while you learn our systems and clients
Our team primarily works Pacific Time (PST) but we’re flexible — this can be discussed and arranged with what suits best for you
You’ll work directly alongside our COO and occasionally communicate with clients in shared Slack channels
Compensation: $600-$1200/month depending on experience, with a clear path to $2,000+/month as you grow with us
We will move from hourly tracking to a fixed monthly salary once we understand the workload and your output speed, typically within the first 1-2 months
This is a long-term role with plenty of room for growth — not a quick freelance gig
