Job Description

This is a remote position.

We are looking for a highly organized and proactive Sales Support Administrator to join a boutique mortgage brokerage firm based in the UK. This is a full-time, remote position with flexible working hours from Monday to Friday. The ideal candidate will play a key role in supporting the sales team by managing schedules, booking calls, and maintaining effective communication with clients. This position is perfect for someone who is detail-oriented, skilled at multitasking, and able to foster strong relationships with clients and partners.

Responsibilities:
Diary Management: Coordinate and manage the diaries of the sales team, scheduling meetings, calls, and appointments with clients and stakeholders.
Call Scheduling: Organise and book client calls, ensuring efficient use of time for both clients and the sales team.
Phone and Message Handling: Answer incoming calls professionally, take accurate messages, and direct them to the appropriate team members. Ensure prompt follow-up with clients when necessary.
Client Follow-Up: Proactively follow up with clients to gather required documents and ensure their timely submission.
Relationship Building: Develop and maintain strong relationships with clients, providing exceptional service as they navigate the property search and acquisition process.
Chasing Proposals: Track and chase outstanding proposals, ensuring clients receive timely responses and updates from the sales team.
Lender Research: Assist with research by speaking to lenders and financial institutions to gather relevant information that supports the sales process.

Requirements

Qualifications: Matric (High school diploma or equivalent), additional qualifications in administration, business, or a related field are desirable.

Experience: A minimum of at least 5 years’ experience in a sales support or sales administrative role is preferred. Knowledge in property markets, real estate, or financial services is beneficial.

Confidentiality: Capable of handling sensitive information with discretion and confidentiality.

Technical Skills: Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and CRM

Organisational Skills: Proven ability to manage multiple tasks, maintain schedules, and prioritise effectively in a fast-paced environment.

Communication Skills: Excellent verbal and written communication skills in English. Able to handle client interactions with professionalism and clarity.

Relationship Building: Strong interpersonal skills with the ability to build and maintain positive client relationships.

Attention to Detail: Meticulous attention to detail, particularly when managing client documents, proposals, and research materials.

Tech-Savvy: Comfortable with diary management tools, CRM systems, and Microsoft Office Suite (Word, Excel, Outlook).

Problem-Solving: Able to think on your feet and handle challenges with a solutions-oriented approach.

Teamwork: Ability to work independently as well as collaboratively in a team.

Professionalism: High level of professionalism and a positive attitude.

Proactivity: A proactive approach to work, with the ability to anticipate needs and take appropriate action.
