Introduction

EXECUTIVE ASSISTANT – REMOTE POSITION (USA)

AVAILABLE FOR SOUTH AFRICAN CANDIDATES

Our U.S.-based client is looking for an outstanding Executive Assistant with strong expertise in ClickUp to support their executive team. The ideal candidate will be a detail-oriented, organized problem-solver who excels in a fast-paced, dynamic environment. Extensive experience with ClickUp is essential. This role includes managing complex schedules, organizing tasks, and delivering comprehensive support to executives.

 

This is a full-time remote position, working EST USA time zones for 8 full hours per day.

 

Working remote international hours for USA:

EST 09h00am – 17h00pm (SA Time: 16h00pm – 24h00pm)

 

Requirements:

  • ClickUp expert (ESSENTIAL) – Incumbent must be confident on ClickUp to perform daily duties
  • Must be available to work remotely for 8 hours per day (New York / USA time zones)
  • Minimum of 3 years’ experience as a remote Executive Assistant or in a similar role, ideally supporting Senior Executives
  • Must have previous experience as an EA for international companies (US/UK/Europe)
  • Advanced proficiency in ClickUp, including task management, workflow automation, dashboard creation, reporting, and integrations (ESSENTIAL)
  • Proficiency in productivity tools like Microsoft Office Suite (Excel, Word, PowerPoint), Google Workspace, and other project management software
  • Outstanding written and verbal communication skills in Business English (ESSENTIAL)
  • Ability to prioritize tasks, manage time efficiently, and maintain attention to detail
  • Demonstrates initiative, resourcefulness, and a proactive approach to overcoming challenges
  • Maintains a high level of confidentiality and professionalism with sensitive information
  • Able to work independently and collaboratively in a fast-paced environment
  • Own laptop / WIFI and internet connectivity including assigned home office space

Duties & Responsibilities

Key Responsibilities:-

  1. CALENDAR & SCHEDULING:  Efficiently manages complex executive calendars, co-ordinates meetings and arrange travel logistics.
  1. TASK & PROJECT MANAGEMENT IN CLICKUP: Organize, track and monitor tasks and projects in CLICKUP, ensuring alignment with team priorities and deadlines.
  2. COMMUNICATION & CORRESPONDENCE: Act as the primary point of contact for the executive team, managing emails, drafting memo’s and co-ordinating communications.
  3. DOCUMENT MANAGEMENT: Prepare, organize and maintain documentation, keeping all files accessible and up-to date.
  4. MEETING SUPPORT: Arrange meetings, prepare agendas, taking minutes and follow up on action items.  Use ClickUp to monitor task progress and ensure completion.
  5. RESEARCH & REPORTING: Conduct research on various topics and compile information into clear, concise reports.
  6. TRAVEL CO-ORDINATION: Plan and arrange executive travel itineraries, accommodations and logistics, maintaining all details in ClickUp.
  7. SPECIAL PROJECTS: Assist with ad hoc projects, presentations and data analysis as needed.
