We are looking for an Appointment Setter – who is responsible for contacting potential or existing clients, scheduling appointments, and managing calendars to ensure efficient use of time. This role typically involves outbound calls, emails, and other communication channels to confirm appointments, remind clients of upcoming meetings, and update records in the scheduling system.
Appointment Setters often work closely with sales or customer service teams to maintain smooth operations and customer satisfaction.
Key Responsibilities:

- Outbound Calls & Emails: Reach out to prospective or existing clients to schedule, confirm, or reschedule appointments.
- Client Communication: Answer questions, provide information, and ensure that clients are informed of the appointment details, such as date, time, and location.
- Maintain Calendar: Accurately manage and update the calendar or scheduling software to ensure no double bookings or missed appointments.
- Follow-Up: Send reminders via email, phone, or text before appointments, and reschedule as necessary.
- Database Management: Maintain accurate records of scheduled appointments, customer interactions, and contact information.
- Customer Support: Address client concerns related to scheduling and assist in rescheduling appointments when needed.
- Collaboration: Work closely with sales, marketing, and customer service teams to ensure client needs are met and schedules align with business goals.
- Data Entry: Input and update client information into CRM or scheduling systems accurately.
- Sales Support: In some cases, Appointment Setters may be tasked with helping to qualify leads before passing them to sales teams.
Skills and Qualifications:

- Communication Skills: Strong verbal and written communication skills to interact effectively with clients and internal teams.
- Organizational Skills: Ability to manage multiple calendars and appointments without errors.
- Attention to Detail: Accuracy in scheduling and managing client information.
- Customer Service Experience: Previous experience in customer service or client-facing roles is a plus.
